Personalized emails grab more attention. With variables, you can automatically personalize emails and pull information from your form, such as first name, age, or selected answers.
This makes every message feel personalized without having to customize it manually.
Add variables
Option 1: Add variables using email templates
First, open the "Emails" section in the project overview. There you'll find all the email templates you've created for this project. You can edit them at any time and use them in multiple forms within the same project.
If you want to use variables in a project-wide template, you must insert the exact name of the corresponding step from your form.
This could be, for example, "First Name", "Last Name", or "Age". Open the desired email template and click the curly brace icon { } where you want to insert the variable. Then enter the exact name of the step from your form and click the blue "Add variable" button.
📌 Please note: If you want to use the same email template in multiple forms, make sure the corresponding steps have the same name everywhere. Only then will the variables be correctly applied in all forms that use the template.
Option 2: Add variables directly in the form
It's even easier to select the variables directly in the respective form. To do this, open the corresponding form and click "Edit form".
In the Finish step, click the settings icon. There, add either an "Autoresponder" or "Double Opt-in", depending on which email you want to link.
You can then either create a new email template or select an existing one.
You will then be in the email's edit mode. Click the curly brace icon { } to display all available variables from your form.
Simply select the desired variable, and it will be automatically inserted at the cursor's position.
By default, the first name and last name are entered together in the name field. This means that when you use the variable, both values are always inserted. If you’d like to use only the first name or only the last name instead, you can separate the fields from each other.
To do this, add another name element to the form. For the first name field, select only "First name" and enter "First name" as the internal name. For the second name field, select only "Last name" and enter "Last name" as the internal name.
You can then select the appropriate variable in your email template and, for example, use only the first name in your email.

If a user does not fill out the corresponding field in the form (e.g., an optional field), that space will remain blank in the email. To avoid unsightly gaps (such as "Hello ,"), we recommend marking personalized fields in the form as required.

There are two possible reasons for this:
1. Check the spelling: The name in curly brackets must match the internal name of your form step exactly (including uppercase/lowercase letters and spaces).
2. Preview mode: When you send yourself a quick test email in the editor, the system lacks a user’s actual data. To check if everything is working, it’s best to perform a live test: Open your completed form, fill it out completely yourself, and submit it. Only then will the variables be populated with your actual test data.
